Google Classroom Tidying Up

Updated: Feb 8

With the end of another school year comes another opportunity to tidy up. One of the easiest and most effective ways is to archive your Google Classrooms. For many teachers, simply archiving is as easy as a few quick steps. Watch the video for a step by step process. For those looking to perform more advanced tasks like saving your gradebook, saving conversations between students, saving conversations, etc, follow the steps listed below the video.

Export Assignments and Course Materials: Use the "Download" option in Google Classroom to export assignments, course materials, and other relevant content in formats such as Google Docs, Sheets, or Slides. This ensures that all course resources are saved and can be accessed offline if needed.

Save Student Submissions: Download and save student submissions, including assignments, essays, and projects. This allows for comprehensive assessment and analysis of student work, even after the course has ended.

Capture Discussion Threads: Take screenshots or save discussion threads to preserve valuable class discussions and student interactions. This can be done by capturing the screen or using third-party tools to capture and save threaded conversations.

Store Grades and Feedback: Maintain a record of grades, feedback, and comments given to students throughout the course. This can be achieved by exporting gradebooks or using digital tools that allow for easy storage and retrieval of assessment data.

Back Up Google Classroom Data: Regularly back up Google Classroom data by utilizing Google Takeout, a service provided by Google that allows users to download a copy of their data. Select Google Classroom as one of the services to include in the backup to ensure all course-related information is preserved.

Organize and Label Files: When archiving Google Classroom, it is essential to organize and label files systematically. Create folders and subfolders to categorize content based on subjects, assignments, or academic years. This helps in efficiently locating and accessing specific materials in the future.

Develop an Archiving Schedule: Establish a regular archiving schedule to ensure that important course materials and data are consistently backed up and stored. This prevents any loss of information and maintains a reliable archive of Google Classroom content.

Educate Students about Archiving: Encourage students to save their own coursework and resources from Google Classroom. Educate them on the importance of archiving and provide guidance on the best practices for saving and organizing their educational materials.
